The brief
What the situation actually was
A web development agency where the recurring failure was not technical capability. It was translation: what the client believed they had asked for, and what reached the person building it, drifting apart somewhere between the two.
That gap is administrative, not technical. It is caused by requirements living in a call nobody wrote down.
The work
What came off their desk
In the order it was handed over, which matters more than the list.
-
01
Project management between client and delivery
Capturing what was actually agreed, in writing, and keeping it current as it changed.
-
02
Graphic and web design
Production design work across client projects.
-
03
Web development and troubleshooting
Build work and the fixing that follows it.
-
04
Social media scheduling
The agency’s own marketing, which in agencies is always the last thing anybody does.
How it ran
The order of operations
The useful intervention was boring: every requirement written down where both sides could see it, and every change to a requirement written down as a change rather than absorbed silently.
Doing design and build alongside the coordination is what made the coordination credible. It is difficult to mediate between a client and a developer about feasibility if you have never built the thing.
The agency’s own marketing got scheduled rather than improvised, which is the standard agency failure and an easy one to fix once somebody owns it.
The outcome
What had changed by the end
Stated plainly. Where there is no number, there is no number.
- Requirements captured in writing rather than in calls, reducing rework.
- A single person covering coordination, design and build, so fewer handovers existed to lose intent in.
- The agency’s own content scheduled consistently for the first time.
- Two years full-time.
What it taught Most delivery problems at agencies are documentation problems wearing a technical costume.
